Troubleshooting
Common issues and how to fix them.
Check your spam folder first. If still missing:
- Open /settings/profile → make sure "Job complete notifications" is on
- Your email provider may be rejecting mail from our sending domain. Contact support and we'll check the delivery logs.
After 5 consecutive send failures, FlowMaticX auto-pauses the mailbox to protect your sender reputation. To resume:
- Check the bell icon for the pause notification — it explains why
- Open /inbox/connect → click the mailbox → check credentials
- If the password changed, regenerate an App Password and reconnect
- The pause auto-lifts on the next successful send

- Missing DMARC record — add
v=DMARC1; p=none; rua=mailto:postmaster@yourdomain.comto_dmarc.yourdomain.com - Sending too fast from a new mailbox — enable warm-up mode and start at 10 sends/hour
- Spam trigger words in the body — re-run the AI writer, it's tuned to avoid these
- Image-only emails — always include text
- Check that IMAP credentials (host/port/user/pass) are set on the mailbox, not just SMTP
- The poller runs every 5 minutes — wait a full cycle before reporting a miss
- IMAP must be enabled in your email provider's web settings (Gmail disables it by default for new accounts)
- Your provider may block port 993 from external IPs — contact them if you're sure everything else is right
- Open the job detail page
- Look at the "Current step" counter
- If the step hasn't moved in 5+ minutes, the scrape may have timed out. Check the live log for error messages.
- As a last resort, click Cancel — the job stops gracefully and refunds unused credits.
- Check that your project has at least one active keyword
- Check the project's "Last checked" timestamp — it should be within 24 hours
- Click Force re-check on the project page to trigger a manual update
- If still stuck, contact support — we can re-run the cron manually
The default export includes every column in the Lead schema. If a column is empty, it's because we didn't find that data for those leads. For example:
- Rating is only populated for Google Maps leads
- Seniority / Department is only populated for Pro Database + LinkedIn leads
- Follower count is only populated for Instagram + TikTok leads
Use the source tabs on /leads to filter to a specific source before exporting.
Yes. Open the lead detail → click the trash icon in the top-right. Deleted leads are soft-deleted for 30 days (you can restore from Settings → Trash), then purged.
Settings → Privacy → Export workspace data. We zip up every row we store about your workspace (leads, jobs, audits, mailboxes, messages, sequences) and email you a download link within 10 minutes. This is GDPR Article 15 + 20 compliant.
