Getting started

Freelancer outbound playbook

8 min readfor-freelancers

A step-by-step playbook for freelancers to book 5 discovery calls per month using cold email, SEO audits as openers, and WhatsApp close sequences.

This playbook is for freelancers — web designers, copywriters, SEO consultants, developers, social media managers — who want a repeatable system to book discovery calls without paying for Apollo, Instantly, and Hunter separately.

What you'll achieve: 5+ booked discovery calls per month, starting from scratch, for $29/mo.

---

Why the old way doesn't work

Most freelancers send generic cold emails like:

> "Hi, I'm a web designer with 5 years of experience. Let me know if you need anything."

Reply rate: ~0.5%.

The problem: No hook, no proof, nothing in it for them.

The fix: Lead with a finding. Give them something valuable before asking for anything. FlowMaticX makes this fast — you run an SEO audit on their website in 60 seconds and lead with what you found.

The FlowMaticX freelancer system
Week 1: Build your target list (2 hours)
  1. Go to /search → Google Maps
  2. Pick your niche: "e-commerce brands in [city]", "restaurants in [city]", "dental clinics in [city]", "law firms in [city]"
  3. Run 3–4 searches across different cities or niches
  4. You'll have 150–500 leads with verified emails

Which niche? Pick the one where:

  • Businesses have websites (so audits are useful)
  • They make money from local customers (so SEO has ROI)
  • You've worked with similar clients before (so you can name-drop)

Good niches for audit-led outreach:

  • E-commerce stores
  • Restaurants and hospitality
  • Healthcare: dentists, physios, clinics
  • Professional services: solicitors, accountants, consultants
  • Home services: contractors, plumbers, electricians

---

Week 1: Run audits in bulk (30 minutes)
  1. Open your lead job → Bulk audit all leads
  2. The system runs SEO audits on all 150–500 sites in the background
  3. Come back in 30 minutes

After audits complete:

  1. Sort leads by audit score (ascending) — the lowest scores are your best prospects (most problems to fix = most value you can offer)
  2. Filter to leads with scores below 60

You now have a prioritized list of prospects who most need your help.

---

Week 1: Write your cold email (30 minutes)

FlowMaticX generates a personalized icebreaker for each lead automatically. Your email has 3 parts:

1. The finding (from the audit):
> "Hi Sarah, I ran a quick audit on kandylover.com and found 14 broken internal links, 3 pages with duplicate meta descriptions, and your mobile speed score is 34/100 (industry average is 65+)."

2. The proof (social proof):
> "I fixed similar issues for two e-commerce brands in the UK last quarter — one went from page 3 to page 1 for their main keyword within 6 weeks."

3. The ask (low-commitment):
> "Would it be useful to share the full audit report? Takes 15 minutes to walk through on a call."

Reply rate with this format: 12–18% vs. 2% industry average.

---

Week 2: Set up your email sequence
  1. Go to /sequences → New sequence
  2. Add 3 steps:
  • Day 0: the finding email above
  • Day 3: quick follow-up ("Did you get a chance to look at the audit? Happy to send the PDF version.")
  • Day 7: break-up email ("Last message — if now isn't a good time, I completely understand. Feel free to reach out when it is.")
  1. Enable Stop on reply (sequence pauses automatically when they respond)
  2. A/B test your subject lines:
  • "Quick question about [company name]'s website"
  • "Found something on [domain]"
  • "14 issues on [domain] — worth a look?"

---

Week 2: Connect your mailbox
  1. Go to /inbox/connect
  2. Connect your Gmail or Outlook with OAuth (2 clicks)
  3. Or enter IMAP/SMTP settings for any other provider

Deliverability tips:

  • Use your own domain email ([email protected] not @gmail.com)
  • Enable email warmup in /deliverability
  • Keep sends to 30–50/day until your domain is warmed up (2–3 weeks)
  • The deliverability dashboard shows your spam rate, bounce rate, and warmup progress

---

Week 2: Set up WhatsApp close sequences

For leads who opened your email but didn't reply, WhatsApp is 10–30x more effective:

  1. Connect WhatsApp at /whatsapp (QR code, takes 30 seconds)
  2. Create a WhatsApp sequence (see the WhatsApp setup guide)
  3. After Day 7 email, auto-enroll non-replies into WA sequence:
  • Day 8: "Hi {{firstName}}, sent you an email about {{companyName}}'s SEO last week. Happy to walk through the quick wins — are you the right person to chat to?"
  • Day 10: follow-up with a quick win tip specific to their audit
  • Day 12: "Last message — would a 15-min call make sense or should I try again next month?"

---

Week 3+: Optimize and scale

Track your numbers:

  • Open rate target: 40%+
  • Reply rate target: 8%+
  • Booked call rate: 2%+ of total sends

If open rate is low: Test new subject lines. The A/Z tester runs both simultaneously.

If reply rate is low: Lead with a stronger finding or sharper proof point.

If booked call rate is low: Soften the ask (offer the PDF first, not a call).

Scale: Once you find a subject line + email + niche combination that works, scale from 50 leads/week to 200 leads/week.

---

What to offer on the discovery call
  1. Walk through the audit — share screen, show the top 5 issues
  2. Estimate the impact — "Fixing your Core Web Vitals could move you from page 2 to page 1, which for [keyword] means X visitors/month"
  3. Propose the retainer — start with a one-time audit fix ($300–$500), then upsell a 3-month SEO retainer ($500–$1,500/mo)

The audit is your credibility. The fix is your foot in the door. The retainer is your income.
