How to use FlowMaticX as a digital agency — white-label setup, client prospecting, branded PDF audits, team management, and the 5-step close workflow.

FlowMaticX is built for digital agencies that need to prospect, pitch, and retain local business clients at scale. This guide walks through the complete agency workflow from finding prospects to signing retainers.

The 5-step agency workflow

Step 1 — Set up white-label

Before prospecting, configure your agency brand:

  1. Go to /account/settingsWhite-label
  2. Upload your agency logo (SVG or PNG, 200×50px recommended)
  3. Set your brand color (hex code) — appears in PDF reports, emails, and the dashboard header
  4. Enter your agency name — appears in all client-facing emails and reports
Custom domain (optional, Agency plan)

To serve the platform at app.youragency.com:

  1. In DNS, add a CNAME record: app.youragency.com → cname.flowmaticx.com
  2. Enter app.youragency.com in White-label → Custom domain
  3. Wait up to 24 hours for SSL provisioning

Once live, clients accessing app.youragency.com see your logo and brand — no FlowMaticX branding visible.

Step 2 — Find prospects with Google Maps
  1. Go to /search → select Google Maps
  2. Enter a niche keyword: "web design agencies", "restaurants", "dentists", "solicitors", "estate agents", "contractors"
  3. Enter a city: "Manchester", "Karachi", "Dubai", "Lagos", "Toronto"
  4. Select your target language (19 available)
  5. Click Start search

The scraper returns 50–200 businesses with:

  • Business name, address, phone
  • Website domain
  • Email (verified before delivery)
  • Google star rating + review count
  • Opening hours

Pro tip: Run multiple searches — same niche, different cities. Merge results into one campaign.

Step 3 — Run SEO audits on prospects

After the search job completes:

  1. Open any lead → click Run SEO audit
  2. Or from the job page: Bulk audit all leads (runs in the background)

The audit checks 200+ points including:

  • Core Web Vitals (LCP, FID, CLS) from real Google data
  • Missing meta titles/descriptions
  • Broken internal and external links
  • Image alt text coverage
  • Mobile usability
  • HTTPS, redirect chains
  • H1/H2 structure
  • Backlink count and domain rating

Results are available within 60–90 seconds per domain.

Step 4 — Generate and send the branded PDF
  1. Open any completed audit → click Download PDF
  2. The PDF is generated with your agency logo, brand color, and domain
  3. Share options:
  • Email directly from FlowMaticX with one click
  • Copy shareable link (no login required for the prospect)
  • Download and attach to your own email

The PDF includes:

  • Overall score (0–100)
  • Top 5 critical issues with fix explanations
  • Core Web Vitals breakdown
  • Competitor comparison (optional)
  • Recommended next steps (your agency's contact)

Cold email opener using the audit:

Step 5 — WhatsApp follow-up sequence

After sending the PDF, enroll the lead in a WhatsApp sequence:

Day 1: "Hi {{firstName}}, sent you an SEO audit for {{companyName}} — did you get a chance to look? Happy to walk through the quick wins on a call."

Day 3: "Just a quick follow-up — one thing I noticed on {{companyName}}'s site: your mobile speed score is {{score}}. I can show you the fix in 10 minutes. Free this week?"

Day 7: "Last message on this — if now isn't a good time I completely understand. But if {{companyName}} ever wants to improve its Google rankings, feel free to reach out."

Team management
Add team members
  1. Go to /account/teamInvite member
  2. Enter their email and assign a role:
  • Owner — full access including billing and API keys
  • Admin — full access except billing
  • Member — can run searches, view leads, send outreach
  • Viewer — read-only, can download PDFs

All team members share the workspace credit pool — no per-seat billing.

Sub-workspaces for clients (Agency plan)

If you manage client accounts directly:

  1. Go to /account/workspacesNew workspace
  2. Each sub-workspace has its own lead database, sequences, and settings
  3. The parent workspace owner can switch between sub-workspaces from the top navbar
